Birch Run Expo Center (BREC)
Wedding/Banquet Facility
General Information
Reservation Policy: A temporary, complimentary hold may be placed on space at BREC without any obligation. However, no dates are final until a written agreement (contract) has been entered into by BREC and the User(s) of the event.
Payment/Deposit Policy: A deposit for 50% of the rental fee is required upon the signing of the contract. An additional deposit for 50% of the remaining Birch Run Expo expenses will be required 4 weeks before the event with the remaining balance to be paid in full at the conclusion of the event.
Cancellation Policy: Should User cancel the event, fees are as follows: a) Fifty percent (50%) of the total due is due if cancellation occurs 181 (one hundred eighty one) days or more prior to the event. (b) Seventy-five percent (75%) of the total due is required if event is cancellation occurs within ninety-one (91) days and one hundred eight (180) days prior to the event date. (c) One hundred percent (100%) of the total due is required if cancellation occurs within in 90 days of the event.

Terms of Use: BREC is available for a total of 14 hours at the quoted hall rental. Extra time may be purchased at a rate of $50.00 per hour. Occupancy beyond 14 hours will be billed at $50.00 per hour. Decorating the day before the event is an option providing that the hall is available, contact Nadine, the BREC Event Coordinator for availability and details.
Security: BREC will provide 1 security guard for all receptions. Additional guards may be added at the discretion of BREC or the User. The cost of the additional guards will be the responsibility of the User.
Catering Policy: You may select your own caterer.
Alcohol Policy: All alcohol must be purchased through BREC. BREC recognizes and follows all TAM alcohol management procedures. Along with BREC bartenders, it is the User’s responsibility to enforce the minimum State of Michigan drinking age. BREC reserves the right to close the bar at any time, for any reason.
Closing Time: “Last Call” will not be later than midnight. All other activities must cease at 12:30 a.m., and all persons must exit the building by 1:00 a.m. Earlier times for “last call” may be discussed with the Event Coordinator so that you stay within your 14 hour rental.
Decorating: BREC will provide white linens on all tables; all other decorating is left up to the User at their discretion. If the User decorates, all decorating; materials must be removed from BREC fixtures, furniture and furnishings by the User. Decorating materials must not deface or damage BREC building or property. Helium balloons are permitted as long as they are removed at the close of the event. Candles are permitted in glass votive bowls, no taper candles are allowed.
Insurance Requirements: Users are required to have insurance coverage in effect during their entire occupancy. Your event bears the full cost of insurance coverage. A certificate of insurance complying with the following requirements is due in our office at least 30 days prior to the event. Usually a simple phone call to your existing insurance carrier can take care of this quickly (homeowners or renters covers this).
*Redstone-Birch Run LLC & Birch Run Expo Center LLC must be listed as an additional insured.
*Comprehensive general liability insurance with limits of not less than $1,000,000.00 each occurrence, combined single limit, for all bodily injury or death and property damage including coverage for personal injury and liquor liability.
